Golf Club Software
JSM Golf Club Software is a highly functional, flexible and powerful business tool designed to take the
hard work out of golf club and golf course management.
The Golf Club Software runs on all versions of Windows.
It is modular and requires only one point of input in Memberships to set up the data in
Handicaps, Bookings and other modules. Modules can be added at any time.
The software can be networked and is integrated with other Windows programs such Word and Excel.

The database module
stores general information about the
structure and detail of your organisation, your customers and
the users of the system.
The customer database is
central and available to all of the other modules to ensure
that basic customer details are held once only. You can store
any number of customers, sub-divided into as many types as you
care to create. Existing records can be imported from other
database systems or spreadsheet type files to eliminate the
need for re-keying.
You can assign unique customer
identifiers so that members can quote membership numbers or
use encoded membership cards (magnetic strip, barcode,
proximity, key fob) as an easy way to identify them to the
system.
Once established, you can use your customer
database in a variety of ways (sheet labels, compliments
slips, export to file for mail-merge, bulk email) to simplify
regular correspondence to your members and exploit the value
of the visitor database that you will automatically
create.
The Tee Timing booking module
provides a diary style view of all course
bookings and availability for any number of courses and for
any date past, present or future. Color coding quickly
identify the status of each booking.
You can create any
number of different booking types with different (deposit and
balance) charges and make these available to the various
customer types in your database.
Customised offer
and confirmation letters (faxes or emails) inform the customer
of the dates and tee-times that have been allocated, the
charges that apply and the deposit and balance amounts that
must be paid to secure the booking. The ready-made reply
letter is available for the customer to simplify the task of
confirming a booking and paying a deposit, which will improve
your cash flow.
The course timetable builder allows you
to specify any tee-time interval that you need (including
fractions of minutes if you want to keep to the quarter hours)
and will allow you to incorporate seasonal variations
according to the daylight hours available.
Textual
reminders can be displayed on the diary to highlight specific
events or booking restrictions at certain times of the day or
days of the week and bookings can be replicated to produce a
series of similar bookings for the same customer or
event.
The membership module
provides you with all that you need to
maintain and track the membership records and payment history
for your club members.
Using the central customer
database you assign your members to one of any number of
groups and fee categories so that the different subscription
charges can be applied.
You can also include additional
fees and services provided (such as union fees, locker rental,
car parking) that are charged with the subscription and if
necessary, you can make these conditional on fields in the
database (eg. Apply a locker rental fee if the member has a
locker).
Details of new
membership applications can be stored as a waiting list and
processed through the various stages of acceptance, offer and
payment receipt. Membership renewals can be offered on mass to
the existing members and tracked as the receipts or rejections
come in.
Every action (application received, accepted,
offered, payment received etc) can produce a customised letter
addressed to the applicant or member using the details held in
the customer database.
The access control module
allows you to control any style and any
number of access points with real-time reference to customer
and membership information. This builds a database of access
management and attendance information that can be interrogated
in a number of different ways.
The retail and
stock control modules
allow you to add the other
products and services that provide revenue (other than green
fees) such as catering, equipment hire, accommodation and all
aspects of the professional shop.
You can organise any
number of the goods or service items into a structure of
departments and categories. You then define the cost and
retail prices for each of the items. New prices can be set
ahead of the price change date without coming into effect
until that day is reached.
You can link the
sale of these items to a booking (in the booking module) to
produce a single customer transaction or process retail only
sales to your members and visitors. Accounts are maintained
for every customer so that credit as well as debit positions
can be maintained and reported and a full transaction history
can be interrogated whenever necessary.
Generate, track
and process the receipt of orders from suppliers and
manufacturers. Use the user-friendly stocktaking facilities to
reconcile on a regular basis and record the resulting stock
adjustments. The receipts, sales and adjustments combine to
produce an accurate and detailed movements record for each
item.
Combine our software with modern PC compatible
point-of-sale hardware (receipt printers, cash drawers,
barcode readers, programmable keyboards, handheld stocktaking
scanners) to provide a full point-of-sale system and eliminate
the cash registers.
The handicapping
module provides fully automated facilities for the
maintenance of handicaps for your home players.
The competition facilities provide for the management
of stroke play, stableford and par competitions with automatic
calculation of CSS and updates to home player handicaps. All
away player details and handicaps (members and visitors) are
stored for future use and returns can be produced for each
away club at the end of each competition.
A Player Score
Input facility is incorporated to ease the workload of the
Handicap Convenor or Secretary and there is the option of a
custom built keypad to make things simple for the
players
Powerful management
reports are available within each of the modules to
provide various levels of analysis of income, receipts,
debtors and creditors and specialist reports provide
information such as usage of the golf course and seasonal
sales from a retail category. All reports can be previewed on
screen before you queue them to your printer to avoid
unnecessary waste of paper.
